5 Ways to Make Meetings 50% Shorter (and Actually More Useful)

Let’s be honest — most meetings are longer than they need to be, and many could’ve been handled with a well-updated board or a single comment thread.

At mutherboard, we work with teams who want to spend less time talking about the work and more time actually doing it. And after watching hundreds of meetings unfold, we’ve noticed a pattern: it’s not that people want to ditch meetings entirely — they just want them to be shorter, sharper, and more valuable.

Here are five ways to cut your meeting time in half, without sacrificing clarity or collaboration:

1. Stop using slides — start using boards
Slides are static. Boards are live. If you're showing a presentation deck that was last updated three days ago, you're wasting time recapping things your team probably already knows. A shared board shows live progress, blockers, and next steps — so everyone’s already up to speed before the meeting starts.

2. Assign owners ahead of time
The phrase “so… who’s doing this?” is the soundtrack of every inefficient meeting. Pre-assigning task owners means you skip the awkward silence and the back-and-forth. People show up already knowing what they’re responsible for — and meetings move a whole lot faster.

3. Focus on outcomes, not updates
The best meetings don’t rehash what’s already in the system. Instead, they focus on decisions: What needs input? What’s blocked? What do we need to approve? If your updates can be read beforehand, let them be. Use your meeting time for progress, not reporting.

4. Time-box everything
It’s amazing what happens when you give each topic a time limit. Setting a timer for agenda items keeps discussions focused, reduces tangents, and ensures that no one hijacks the whole meeting with a side story. It creates healthy pressure to get to the point — and stay there.

5. Or honestly… just skip it
Sometimes the most productive thing you can do is cancel the meeting. If nothing’s changed since last time, or all updates are already documented, don’t meet for the sake of it. Give your team something more valuable: their time back.
